Privacy Policy
This policy explains how Red Deer Data handles information when a business visits our website or requests a data licensing bid.
Effective
1. Who this policy covers
This policy applies to Red Deer Data's website, bid request intake, and related communications. Red Deer Data is the operator of these services. This site is intended for people acting on behalf of a business.
2. Information we collect
We collect the information you choose to provide, including:
- Your name, business email, phone number, company, website, industry, employee count, and year founded.
- Descriptions of your company, the software your team uses, estimated data sizes, and notes you add to the intake.
- If selected, your text message consent, its date, and the disclosure shown when you consented.
We also process technical and security information needed to operate and protect the site. This can include browser, device, network, verification, and request information. Our application uses a protected form check and a hashed, short-lived rate limit identifier to reduce automated abuse.
Your unfinished intake is stored in your current browser session for up to 24 hours so you can return without starting over. It is removed after a successful submission. The text message checkbox starts unchecked. After you attempt to submit, your selected text message choice is retained in the same browser tab so you can retry if the confirmation is interrupted.
The intake asks for an inventory and estimates. It does not ask you to upload source files, customer records, passwords, payment details, or other sensitive business content.
If you use the referral partner portal, we collect your sign-in email, account identifier, name, and the referrals associated with your link. Google Firebase handles Google and email-link sign-in. Your browser stores sign-in information to maintain your session and may save your email address to complete an email-link sign-in. We also retain business and contact information submitted through the previous introduction form. Signing in does not give you access to our intake records or referral registry.
Optional analytics and ad measurement
You can decline optional measurement, allow analytics only, or allow analytics and ad measurement. Google tags load only after an appropriate choice. Cookie settings lets you change that choice; declining does not affect the intake. Earlier analytics permission does not automatically allow ad measurement.
Google Analytics measures visits to public pages and successful bid requests. With ad measurement allowed, Google Ads also receives a conversion after our server confirms a bid request was saved, together with advertising click and campaign information needed to attribute that request. Measurement may include browser and device information, approximate location, the public page visited, and a sanitized referring website. We do not send form answers, contact details, company details, or submission identifiers as measurement events.
Our event URLs exclude fragments and unrelated query parameters. When ad measurement is allowed, they may include validated Google click identifiers and this campaign’s fixed source, medium, and campaign tags. Before a choice, sanitized landing context may be held temporarily in page memory to preserve it during navigation; it is not saved to browser storage or sent to Google without permission.
Your choice is saved in your browser. Allowed measurement uses Google cookies; our tag settings use a 90-day cookie lifetime. Google Signals and advertising personalization remain disabled. Withdrawing ad permission stops our Ads conversion events, updates Google consent settings, and removes advertising cookies our site can access. Declining all measurement also stops our Analytics events and removes accessible Analytics cookies. Previously collected information may remain under the services’ retention settings.
Google processes this information for its measurement services. See how Google uses information from sites that use its services.
3. How we use information
We use information to evaluate and respond to bid requests, understand a business's data inventory, communicate about next steps, organize records in our systems, prevent fraud and abuse, recover failed deliveries, maintain backups, comply with law, and protect our rights and services.
We use referral submissions to record who made an introduction, contact the referred business, and administer the referral program. Referral submissions are stored separately from bid requests. Referring a contact does not opt that person into text messages.
Partners receive a unique referral link tied to their signed-in account. When a business completes an intake using that link, we record the referring partner with the submission. The referral identifier is retained with an in-progress intake draft in the same browser tab; it is not an advertising cookie.
4. How information is shared
If you submit an intake through a partner’s referral link, that partner can see your company name, submission date, and confirmation that the intake was completed. The partner dashboard does not share your contact details, inventory answers, messages, or individual intake document.
We use service providers to host and secure the site, process form verification, organize intake records, and manage follow up. These currently include Cloudflare and our site hosting provider, Google Workspace, and Close CRM. They process information for us under their own service terms and security controls.
We may share a limited business profile with potential licensing counterparties when needed to evaluate interest in a bid. This intake does not automatically send your submission to an AI lab, and no source business files are uploaded through it. Any later delivery of a licensed dataset is governed by a separate written agreement.
We may also disclose information to professional advisers, to comply with law or a valid legal request, to protect people or our services, or as part of a merger, financing, acquisition, or transfer of business assets.
5. Text messages
If you check the optional text message box beside the phone number field in our intake, you agree to receive automated transactional SMS messages from Red Deer Data. These messages relate only to your bid request, intake, and customer care, including bid request confirmations, follow-up questions, meeting reminders, and status updates. We do not send marketing or promotional text messages under this program. Message frequency varies. Message and data rates may apply.
The SMS checkbox is unchecked by default. Consent is not required to request a bid. Reply STOP to opt out. Text HELP for help, or contact info@reddeerdata.com. We do not sell or share mobile numbers or text message consent with third parties for their own marketing. Mobile information and SMS opt-in data are not shared with third parties or affiliates for marketing or promotional purposes. Vendors may process this information only as needed to deliver and support our messaging program or as required by law.
6. Retention
We retain information for as long as reasonably necessary to evaluate requests, operate our business, maintain security and records, resolve disputes, and meet legal obligations. Copies may remain for a limited period in protected backups or provider systems after a deletion request. We do not promise a fixed retention period where business or legal needs vary.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, private workbooks, form verification, rate limits, and protected backups where configured. No online service can guarantee absolute security.
8. Your choices and requests
You can decline text messages and still request a bid. You can opt out of texts at any time by replying STOP. Depending on where you live, you may also have rights to request access, correction, or deletion of personal information. We may need to verify your identity and authority before acting on a request.
9. Children
This business service is not directed to children under 18, and we do not knowingly collect personal information from them.
10. Changes and contact
We may update this policy as our services or legal obligations change. The effective date above shows the latest revision. Questions and privacy requests can be sent to johnny@reddeerdata.com.
